Privacy & AI Notice
The Herbert Taylor Career Contact Assistant and Career Q&A are automated AI services—not Herbert speaking or responding live. This notice explains the limited information processed through the public gallery, contact form, AI chat, and voice service. It is a disclosure of current practices, not a promise of compliance in every jurisdiction.
Information processed
- Website inquiries: the name, reply email, optional organization, message, and basic submission metadata entered through the contact form.
- Career Q&A: the question submitted to xAI and the generated response. The gallery does not save local chat history.
- Voice calls: call audio, transcript, conversation identifier, date and time, duration, tool activity, and a minimal career contact summary.
- Professional details voluntarily supplied by a caller, such as a name, organization, role, preferred contact method, and non-sensitive reason for contacting Herbert.
Caller ID and consent
The voice agent identifies itself as automated AI and requests affirmative consent before substantive conversation. A callback number may be volunteered by the caller and is treated as unverified. Twilio also supplies carrier-presented caller ID when available. It may be blocked, unavailable, or spoofed. The number is encrypted and copied only into Herbert’s restricted career control panel for security and career-contact administration; it is never displayed in this public gallery.
How information is used
Information is used only to answer approved public career questions, receive professional inquiries, review messages, check limited scheduling availability, create a confirmed professional appointment, prevent abuse, and maintain the authorized career-contact workflow. It is not sold or used for targeted advertising. The AI does not accept employment offers, make commitments, conduct screening, or automatically call, text, or email a caller.
Service providers
The workflow uses OpenAI Sites for the gallery, xAI for AI chat and voice processing, Twilio for telephone routing, Formspree for website inquiries, and authorized Google Workspace services for restricted summaries and explicitly confirmed scheduling. These providers process information under their applicable settings, policies, and service terms.
Retention and access
xAI currently states in the agent console that voice conversations are retained for 30 days. The private Gmail summary and any confirmed Calendar event remain under Herbert’s account controls until reviewed or deleted. The private career control panel stores encrypted caller ID for a 90-day retention review and displays it only to Herbert after authenticated access. It does not store transcripts, message bodies, recordings, or private calendar details. Provider, security, fraud-prevention, and legal requirements may limit or delay deletion.
Do not submit sensitive information
Do not provide passwords, verification codes, Social Security or government-identification numbers, financial or banking data, medical or disability information, legal matters, leave history, background-check information, or other sensitive personal data. Caller-provided links, files, and claims are treated as untrusted.
Security and third-party links
The gallery uses HTTPS, server-side secrets, access restrictions, data minimization, and limited connector permissions. No online service can guarantee perfect security. External LinkedIn, Credly, NSLS, and other verification links are governed by those third parties’ practices.
Requests and notice changes
To request access, correction, or deletion of information held in Herbert’s career-contact workflow, use the gallery’s contact form and identify the request without including sensitive data. Requests may require reasonable identity verification. Material changes to this notice will be reflected by an updated effective date and version.
